A CRM as dynamic as HubSpot provides hundreds of new opportunities and features to enhance your processes, communications and conversions. Sounds great! However, without thorough training and support, your team won't know how to effectively use them.

Training Your Team

 Let's look at what you can do to support them in getting to grips with it. 
 
If your team have never used a CRM before, or are brand new to HubSpot, then it is crucial that key users are included in the initial onboarding sessions to see how the features work and provide input to the suggestions your consultant is making for you. Spend time at the beginning of your onboarding to revise the agenda plans and gather the relevant team members for each meeting. 
 
It can be daunting! At times the project may feel overwhelming and there can be lots of new processes to pick up. It's important that they are listened to and have space to ask any questions they have so that uncertainties can be discussed and your team can be put at ease.
 
Get them to complete CRM example tasks. This could be creating their own HubSpot list or view, maybe they could begin by submitting example form submissions and then checking for the new records.

Consequences of an untrained team

1. Loss of confidence in the system - the last thing you want to do is lose the faith your team has in the CRM to perform and support their daily role. Without efficient training, your team will not know how to properly use HubSpot in a way that works. This can effect their confidence in the system and ultimately lead to more stress at work.

2. Losing enquiries and leads - without knowing how to follow up with confidence and in a timely manner, your parents and students could easily lose interest and may end up choosing an alternative organisation. Efficiency is everything and for every organisation that is not investing in their team's training, there are several that are! Don't lose out because you'd rather not invest in your team.

3. Inaccurate data - if your team aren't populating the CRM accurately, and if they don't have an understanding of where the data is sitting and how to find it, then they may end up neglecting data hygiene which could lead to inaccurate reporting. For example, if an Admissions team member isn't sure how to move a deal along the pipeline, they might just leave them where they are. Perhaps a parent needs to update their email, if they can't do this they might add the data to the wrong place or worse - the wrong record. 

4. Internal conflict -  ultimately if your teams are feeling unsure and stressed about how to use and manage the system, then this could reflect on their role and time at work. If the team are not supported in their training of the CRM, they will make mistakes and if they are leaning on each other for advice or help, then this could cause internal conflict.

Overall, it's vital that your teams are trained in using the CRM. This will have been set up specifically for your needs, and if they are not sure how to use it then you are missing out on opportunity and ultimately money. Don't put your team aside because they 'sort of' know it. They need to feel confident and assured to use HubSpot to it's absolute full potential.
